Template Overview
- Invoice Database - this is where you create and track your invoices
- Client List - a view of the client database, defaulted to show all clients. It has a few views you can switch to:
- Current Client list - set to show all clients that you’ve invoiced in the last year
- Client Table list - a table of the client database
- Invoice Number Set-up - where you can set the invoice number criteria for Pop Invoice.
- Charts - an overview of your invoicing activity, including overdue invoices, the number of invoices issued per month, and how much you’ve invoiced each client. This visual representation helps you stay on top of your financial data at a glance. - charts are only available for paid Notion users

Creating an Invoice
- Click the “New invoice” button above the invoice database to add a new record and complete the following:
- Client: Select the client for the invoice. You can add a new client here too.
- Invoice Number: add the invoice number - use the “Last Invoice Number” properties to see what the last invoice created for this client.
- Title Button: click this to set the invoice title to the client and the invoice number. See the customisation section to see how to change this.
- Tax %: Add the tax percentage, if applicable.
- Invoice Date: This defaults to today but can be changed.
- Due Date: Add the date the invoice is due.
- Status: use to track the status of your invoice - if you’re planning to use Pop Invoice set it to Ready so Pop Invoice can generate the PDF.
- In body of the invoice record, fill in the goods and services database:
- Description: Add a description of each item or service.
- Price: Enter the price for each item.
- Quantity: Specify the quantity.
- Sort Order (optional): Add a number to order items on the invoice. - used by Pop Invoice
- The invoice is now complete; the total and tax will be calculated for you.
Using with Pop Invoice
This template is pre-configured to work with Pop Invoice. To get started, you will need to grant Pop Invoice access to the necessary databases. You can follow the detailed steps in the second half of the video at the top of the page or follow the instructions below:
